EventSage is one system for caterers, mobile bars, coffee carts and event vendors whose pricing, recipes and logistics are too complex for the tools they’ve been stitching together. All the depth the work demands, with the polish your clients expect.
We asked event operators what runs their business. The answer was... a bit of everything.
The average applicant runs four tools before counting the ones they had to write in. None of them were built for an event that scales with the guest count.
- Caterease
- Total Party Planner
- Event Cinch
- Check Cherry
- FlashQuotes
- Wheelo
- Nowsta
- 7shifts
- When I Work
- Go High Level
- Goodshuffle
- Zapier
- ClickUp
- Airtable
- Microsoft Word
The tools work fine. They just don't work together.
Alternative tools lack the functionality or event-specific intelligence to help your business succeed. EventSage has it.
“We’re duct-taping Event Cinch, When I Work, Airtable, Zapier and Dubsado together, mostly by hand.”
“I don’t know if I’m profiting on an event until after the event.”
“Everything lives in my brain, and I don’t know how to hand over the reins.”
“I have sent incorrect invoices to clients because a line in my spreadsheet was hidden.”
“We have one billion Google spreadsheets that our team works from.”
“It works, but it’s exhausting — and very dependent on me remembering everything at all times.”

Connected everywhere.
One system holds the quote, the staffing, the recipes, the venue logistics, the client thread, the margin and the day-of brief. Book the event and everything downstream builds itself.
Your business tool now does things for you.
Recipes scale to guest count. Venue load-in notes attach to the brief. Tasks are created from what the client booked. You stop reinventing the wheel.
You see your margin before you quote.
Markup rules tie to categories, recipes and bundles. Cost increases stop quietly eating profit. Low-margin events get caught before the proposal goes out.
Inquiry to customized proposal before you check your inbox.
Forms create projects. Workflows fire. The lead gets a polished, event-specific proposal while they’re still excited.
This is what running your business should look like.
Real screens from EventSage, not mockups. Tap through the tools operators use every day.
A beautiful bird’s-eye view.
What needs you today, booked revenue, outstanding invoices, the pipeline and the next two weeks, on one screen.
Pricing that scales with guest count, duration, and services rendered.
There is a pricing engine behind every EventSage quote. With six pricing options for a bundle, event variable-aware consumption math, and your margins protected, you can quote any event with confidence.
Our difference is in our depth.
Eight intelligent systems that act like one. So you can get more done.
Pricing that scales with the event
Per item, per guest, per hour, per staff. Bundles rescale every line by its own rule. No more rebuilding the quote when a client asks “what if we add an hour?”
Live margin tracking
Spot risky jobs before they book. Floor warnings when a deal slips. Compare which event types actually pay. Decide from numbers, not gut feel.
Quick Quotes in 30 seconds
Core packages, staffing and add-ons — selected and sent as a branded quote before the lead cools off. Quote the event before someone else books it.
Dynamic proposals that close
Proposals adapt to the event. Deposits, discovery calls and customization requests happen inside the proposal. Pricing is snapshotted, so nothing drifts.
Workflow automation
Lead nurture, production tasks and payment reminders, fired by project activity. A reply pauses the sequence, so you never chase someone who already answered.
Venue intelligence
Parking, ice machines, load-in routes and on-site contacts, attached to the brief automatically. No more “where do I park?” texts at 4:47 on a Saturday.
Recipes & batching
Cocktails scale to guest count with dilution math. Costing stays accurate. Prep instructions follow the event into the staff brief.
SageAI knows your business
Grounded in your pricing, recipes, events and history. Drafts outreach, coaches on a price, summarizes a thread — and tells you when it doesn’t know.
Most software in our industry is powerful or pretty. EventSage is both.
EventSage changes that reality. Design-centric, highly intelligent, and utilizing all the tools of modern technology, your client will see you for the premium service you are. Your brand leads is the star of the show.
“Powerful tools in our industry shouldn’t be ugly, basic, or behind the times.”

Upload your business.
SageAI guides setup from a starter template built for your business type. Get a quick win, or take the time to set up items and bundles so pricing is always right.
Thirty-second quotes. Proposals that close.
Clients choose packages, request customizations, pay a deposit or book a call — right inside the proposal. You keep full control of the lead.
Let the system build the lists.
It already knows what’s on the invoice, how many servings and how many staff. Packing, shopping and prep lists build themselves, and shifts are ready to post.
Built for operators whose events don’t fit a template.
If you’ve ever screenshotted a spreadsheet into a group text, this is for you. If you’ve ever apologized for the way your quote looks, this is also for you.

Early access, at an early-adopter rate.
Cohort two is forming now. Members keep their plan pricing for as long as their plan stays uninterrupted.
Standard plans and pricing will be published when EventSage opens to everyone.
One price. Your Frankenstack, retired.
No per-proposal fees, and EventSage never charges your clients. Your CRM, proposal tool, scheduling app and pricing engine in one tool.
Those tools are built for generic service businesses — coaches, photographers, designers. EventSage is built for the complexity of events: pricing that scales with guest count, recipes that batch automatically, BEOs that build from project data, and venue details that follow the event. It’s also built to be beautiful, so your client takes your proposal seriously.
Yes. Bring clients, catalog items and price sheets in from a spreadsheet export, and cohort members get light, personal support for the questions that come up during migration.
Cohort two applicants hear from us directly when that cohort opens. Public launch follows.
Cohort two is $79/mo for Pro or $149/mo for Team — an early-adopter rate you keep for as long as you stay. Public pricing will be published at launch.
No. SageAI is wired into EventSage’s data model — your projects, contacts, quotes, recipes, calendar and workflows — and trained on the economics of mobile bars and catering. It answers from your actual business, and it tells you when it doesn’t know.
Every application is reviewed by hand so each cohort stays focused: a group of operators we can genuinely support, whose feedback shapes the product before the broader launch.
No. EventSage takes client payments through Stripe only. When you set up payments, EventSage walks you through creating a Stripe account, and your event deposits and invoices pay out to your bank.
That doesn’t mean you have to give up Square. Plenty of event vendors keep Square for in-person sales, like a pop-up bar or a market table, and use Stripe for event invoices and deposits through EventSage. The two don’t interfere with each other.
EventSage doesn’t import your Square sales, so retail or walk-up sales stay in Square. Everything tied to a booked event lives in EventSage.
You send the quote or invoice from EventSage. Your client gets a link to a pay page, where they can pay by card through Stripe. If they’d rather pay by check, cash, Venmo or Zelle, they can say so on the same page, and EventSage notifies you so you can confirm when the money arrives.
Record the payment on that event’s invoice and choose the method. It then counts in the same totals as your card payments, so the event shows one complete picture.
No. Quotes, invoices, contracts and payment links all go out from EventSage.
No. EventSage creates a fresh Stripe account connected to your business during setup. That’s what lets it track deposits and payouts against each event, and your bookkeeper can still export everything from Stripe.
Because your client sees your proposal before they ever see your bar. Software that looks dated makes a premium service look like a guess. The tools behind the work should look as considered as the work itself.
